This notice explains what VineFile does with personal information.

Who we are

VineFile is operated by VineFile LLC, a Florida limited liability company, at 18459 Pines Blvd., #248, Pembroke Pines, FL 33029. You can reach our privacy contact at support@vinefile.com.

Two different relationships matter here. When a professional signs up and uses VineFile to run their own practice, we handle their client records on their behalf — they decide what to collect and why. When we operate the Lead Exchange, the Book Marketplace and the platform itself, we make those decisions ourselves.

Information we handle

  • Account information for professionals who sign up: name, email, workspace details, billing records.
  • Client records entered or imported by those professionals: names, contact details, and whatever else their work requires — which can include financial details, property information, and insurance policy data. Where a record includes data drawn from a credit report or credit-monitoring service, see "Credit report data" below for how that's handled differently.
  • Consent records: how and when a consumer agreed to be contacted, the wording they saw, and which channels they permitted.
  • Usage information: log data, device and browser details, and actions taken in the product.

Where it comes from

Almost always from the professional using VineFile, who obtained it directly from the consumer. Some records arrive through the Lead Exchange when one professional shares an opportunity with another, and some through the Book Marketplace when a book of business changes hands.

Sharing and selling

The Lead Exchange lets one business pass a consumer's details to another business in exchange for credits. Under California and several other state privacy laws this counts as selling or sharing personal information, and we say so plainly rather than hiding behind a narrower reading.

The Lead Exchange is only available for business categories we've designated eligible (currently Mortgage & Lending, Insurance, Real Estate, and Banking & Financial Services — see vinefile.com/eligible-categories for the current list), and a lead can only be posted when a consent record exists showing the consumer agreed to be contacted by a partner or third party. Contact details stay hidden from the buyer until the lead is claimed.

You can stop this at any time using the privacy choices form. Opt-outs apply across every business using the platform, not just the one you dealt with. We also share information with service providers who run parts of the platform for us — hosting, email delivery, payment processing, and AI processing. Credit report data

Data drawn from a credit report or credit-monitoring service is used only to support the professional's own CRM record-keeping. It is never included in a Lead Exchange listing, used to generate or price a lead signal, sold or shared with another business, or included in de-identified/aggregated research or benchmarking data — regardless of business category. This restriction stays in place until we've confirmed with counsel that a specific use complies with the Fair Credit Reporting Act.

Research and aggregated insights

The professional who uploaded a client record owns it. We use it to run the platform for them, and we also use it — excluding credit report data, per above — in de-identified and aggregated form for research, benchmarking, valuation and lead-pricing models, product analytics and improving our AI features. Direct identifiers — name, address, phone number, email — are removed and the data is combined with other members' data before it is used this way.

We do not sell or publish identifiable client records, and we do not attempt to re-identify aggregated data. Statistics and models produced from it are ours and may be used in market reports and product features. If you would rather not be included, use the privacy choices form.

Your choices

Depending on where you live, you may be able to ask us to:

  • Tell you what information is held about you
  • Correct information that is wrong
  • Delete your information
  • Stop selling or sharing your information
  • Stop contacting you altogether

Use the privacy choices form. We verify your email first so nobody can make requests in your name. We do not charge for this and we will not treat you differently for asking. We respond within 45 days.

How long we keep it

Account records are kept for as long as the account is open, then deleted 30 days after closure — except billing records, which we keep as required for tax and accounting purposes (typically 7 years). Client records are kept as long as the professional keeps them, subject to their own obligations. Consent records and the compliance audit trail are kept for 6 years after creation, or longer if law requires, because they are the evidence that contact was permitted.

Children

VineFile is a business tool. We do not knowingly collect information from anyone under 16. If you believe a child's information is held here, contact us and we will remove it.

Changes

If we change this notice materially we will update the date at the top and notify account holders by email.
